Operations and Finance Manager

Employment:  Full Time – 32 to 40 hours/week

Location:  Steamboat Springs, CO

Position Summary

Responsibilities and Essential Functions: 

Accounting & Financial Operations 

  • Process accounts payable, credit card transactions, incoming donations (including stock gifts), and outgoing grants with accuracy and attention to detail.  
  • Prepare and make bank deposits; reconcile bank and investment accounts.  
  • Process Enterprise Zone tax credits for eligible donations and maintain required documentation.  
  • Support budgeting, forecasting, and financial reporting processes in partnership with the Finance/HR Director.  
  • Assist with audits, grant reporting, and other financial compliance activities as needed.  
  • Contribute to special projects and cross-functional initiatives as assigned by the Finance/HR Director and CEO.  

DataInformed Planning & Decision Support 

  • Use financial, operational, and program information to spot patterns, raise questions, and highlight opportunities that help the organization plan ahead and respond thoughtfully to organization, staff and community needs.  
  • Create and maintain easytounderstand tools—such as summaries, dashboards, forecasts, and simple visuals—that help leadership and the Board see where we are, where we’re headed, and what choices are available.  
  • Work collaboratively with colleagues across the Foundation to understand program goals, costs, and longterm sustainability, and to support good planning.  
  • Use information as a learning and reflection tool—to support budgeting, grantmaking decisions, and evaluation—while staying grounded in YVCF’s peoplecentered, relational approach to community work.  

Operational Responsibilities 

  • Identify, implement, and support systems, tools, and technologies that improve efficiency, transparency, and organizational effectiveness as YVCF grows.  
  • Maintain well-organized shared drives and digital file systems that support collaboration and institutional knowledge.  
  • Create, document, and update simple and clear internal processes and user guides as workflows change or new tools are introduced.  
  • Support continuous improvement efforts that strengthen internal operations without sacrificing flexibility or responsiveness.  

Office Management Responsibilities 

  • Manage incoming and outgoing mail, deliveries, and day-to-day office logistics.  
  • Coordinate scheduling and use of shared spaces, including managing reservations for external partners and community groups using the upstairs conference room.  
  • Oversee office supply inventory, ordering, and vendor relationships.  
  • Serve as the primary liaison with property managers, contractors, architects, interior designers, and other vendors.  
  • Coordinate routine building maintenance and oversee office-related projects that support a welcoming, functional and wellcaredfor workspace.

What We’re Looking For 

Required: 

  • At least 3 years of clerical accounting, general office and administrative experience.  
  • Proficient in use of Microsoft Office (especially Outlook, Word and Excel).  Ability to learn new accounting and database systems.   
  • Maintain high level of confidentiality. 
  • Excellent problem-solving skills and demonstrated initiative.  Ability to work both independently and collaboratively. 
  • Excellent organizational skills and attention to details.  Must be able to enter data efficiently and accurately. 
  • Strong oral and written communication skills. 
  • Must have the ability to prioritize and manage multiple tasks, adapt to daily challenges and rapid changes, and perform duties proficiently. The ideal candidate will have the ability to coordinate several activities effectively during the day and handle multiple deadlines simultaneously. 
  • Ability to learn and adapt to new systems and processes quickly.  
  • Ability to build relationships with people of diverse backgrounds, perspectives, and cultures. 
  • Ability to work in-person, in the office.   

Helpful Qualifications: 

  • Background with non-profit organizations or philanthropy. 
  • Experience working with accounting software, particularly Community Suite. 
  • Bachelor’s degree in business, administration, accounting, finance or economics, or equivalent experience.

Compensation: This is a full-time (32 to 40 hours/week) exempt position.  The Yampa Valley Community Foundation offers an attractive benefits package to full-time employees, including paid time off, retirement contribution, ski pass, matching charitable gift program, and medical, dental, vision, and disability insurance.  The full-time (40-hour equivalent) starting salary for this position ranges from $60,000 to $65,000, depending upon experience.  The position will be supervised by the Finance and HR Director and will report to the CEO.
